Alta Resources is Hiring! Summary With general supervision this position provides a broad range of highly skilled, highly confidential administrative support and services to Senior Leadership.
The incumbent must create and maintain strong interpersonal relationships while providing support in areas related to executive administration, travel, meeting scheduling and preparation, record keeping and projects as assigned.
This individual will handle sensitive material and information with discretion.
While often working independently this role will be a part of a team oriented group of individuals.
Essential Duties & Responsibility Other duties may be assigned.
• Preparation of confidential correspondence, reports and other complex documents • Preparation and coordination of incoming and outgoing mail and shipments for executive staff members • Interface with senior management, internal/external customers, government and community officials with tact and diplomacy • Organize travel and meeting arrangements • Arrange and schedule meetings including reserving and setting up conference rooms and videoconferencing specifically for those directly supporting • Incorporate process improvements where necessary to create efficiencies • Complete various ad-hoc projects and perform other duties as assigned • Regular attendance, punctuality and adherence to agreed-upon schedule of availability are conditions of employment and essential function of this position.
• Coordination of client visits and lunches • Printer/Copy Machine maintenance • Coordination of Corporate Calendar or CorpServices mailbox • Attending to facilities requests (e.
g.
parking, building maintenance, etc.
) • Meeting attendance for the purpose of taking minutes • Answer and direct incoming calls for those directly supporting • Board related activities • Distribution of mail Leadership Responsibilities Although this position will not have responsibility for direct reports, the position requires active leadership in the way of supporting strategic initiatives as well as active personal development and application of Six Sigma methodologies.
