Job Description Summary The Maintenance Coordinator helps manage the administrative functions related to the maintenance department including parts inventory, invoicing, receiving and coordinating external services for required repairs or machining for components and equipment.
Essential Duties and Responsibilities Orders all necessary machine and equipment parts in order to maintain operations and minimize machine downtime.
Reviews vendor confirmations and corrects POs to match current pricing.
Resolves any discrepancies and works with accounts receivable for proper processing of invoices.
Receives parts into SAP and EWin.
Labels and stocks parts in proper locating bins.
Delivers special parts to maintenance crew.
Kits parts to maintenance for WO/PM completion.
Works with parts or service vendors to ensure delivery scheduling that meets the level of urgency.
Tracks invoices to accurately reflect department budget.
Tracks and reports out on KPI’s/maintenance metrics in PCS meetings.
Identifies problem areas in inventory levels and brings recommendation for solution.
Works in SAP and serves as a training resource by assisting maintenance technicians.
Cycle counts in EWin and SAP for parts in the stocking area.
Maintains inspection report files for various outside agencies.
Coordinates outside contractors for repairs/outside services.
All other duties as assigned.
Safety, Environmental and Quality Follows all safety rules and procedures by working safely and ensuring safety of others.
Follows all environmental protocols as applicable to the job.
Follows all Good Manufacturing Practices as stated within the policy.
Follow all food safety procedures.
Maintains a sanitary and safe work area; performs housekeeping duties as necessary and/or required.
Detects potentially hazardous conditions and problems and takes appropriate action to report and/or correct.
Qualifications and Competencies High school diploma is required.
Associate’s or Bachelor’s degree is preferred.
Previous experience in an administrative role and experience in a manufacturing environment is a plus.
Intermediate knowledge of MS Office Products – Word, Excel, PowerPoint.
SAP or other ERP system experience is preferred.
Performance Expectations: Quality, accuracy, timeliness, reliability, and thoroughness of work performed; ability to gain the trust and respect of management, coworkers and brokers; maintain the integrity of confidential business and product information; ability to communicate effectively and develop good working relationships with other employees is essential to accomplish goals and objectives of the department; able to interpret and explain pertinent department policies and procedures.
Working Conditions: Work is performed largely in an office environment.
Hours of work will generally be during regular business hours and average at least 40 hours per week.
There could be some variation in work hours due to special projects, deadlines, and other concerns.
Overtime and occasional holiday hours may be required.
Employee is required to sit in front of a computer for several hours a day.
Occasional lifting may be required.
All Safety and Quality guidelines must be adhered to when working in the plant.
