Job Description PRINCIPAL OBJECTIVE: Responsible for overseeing and maintaining Engineering Services Agreements and related legal documents in support of delivery of ongoing design services to our Clients.
The role is also responsible for managing the sourcing process for major capital equipment and construction services in liaison with Client and Project Team Members.
SCOPE: The Contract Management and Procurement Associate is responsible for, and has commensurate authority to accomplish, the fulfillment of the duties set forth below.
Appropriate portions of these responsibilities, together with proportionate authority for their fulfillment may be allocated to subordinate staff personnel, but neither overall responsibility for results nor any portion of the incumbent's accountability may be delegated or relinquished.
Contract Management Duties: Manages and coordinates the review and approval of legal documents that are required for the execution of design services for the Client.
Legal documents include Engineering Services Agreements, NDA’s, Memorandums of Understanding, Lease Agreements, etc.
Works in concert with the AFRY legal team to review and negotiate the terms of the agreements.
Arranges and facilitates meetings with the Client and AFRY legal team and Project team members to review and negotiate legal matters.
Prepares and distributes updates regarding the status of the legal document review to team members.
Develops and maintains the Client contract directory and overseas the status of all legal documents for AFRY’s North American operation.
Uploads contracts to the AFRY Secure Contracts portal in accordance with AFRY guidelines.
Procurement Duties: Manages and executes the preparation of bid documents and approvals that optimize the communication of technical and commercial information to Client, Team Members and Suppliers in a timely manner.
Works in concert with Client in the negotiation of commercial terms of purchase such as confidentiality agreements, payment terms, process grantees, equipment warranties, freight, spare parts and price.
Manages the Vendor bidding process while keeping Client and all Team members abreast of progress or changes.
Works closely with project team members to facilitate early supplier selection and involvement in the technical and commercial requirements of equipment or commodity purchases for project.
Arranges and facilitates all Pre-Award Vendor meetings and issues addendums to Vendors for questions or clarifications with distribution to Client and Team as well.
Prepares and distributes analysis of bid results to Client/Team members and maintains accurate records of all Project Procurement activity.
Develops, maintains and distributes to Client and team Members Procurement Status reports that track the progress of Procurement activity including the Request for Quotation through final equipment delivery to jobsite.
Other miscellaneous duties as assigned.
Personnel: Confirm implementation of company policies and procedures as they relate to the handling of legal and commercial tasks.
Foster timely and complete two-way communications at all levels and personally participate as both formal and informal liaison between legal and internal team members.
Relationships: This position reports to the Director, Project Delivery- A close working relationship will exist with the project team members.
Works closely with the Project Team Lead, Client Team members and Vendors to ensure that project objectives are met, on time, within budget, and to Client’s expectations.
Qualifications A bachelor’s degree in business administration, Accounting, Economics or related field or 5 years’ experience in a competitive procurement or contract work environment in either engineering or manufacturing is desired.
Must possess skills to source, prepare and edit Legal Documents, Requests for Proposals, and maintain accurate records.
Proficient computer skills with Microsoft Word, Excel, PowerPoint and Purchasing software such as SAP, JD Edwards or Oracle.
Must possess knowledge of project management, contract negotiations, Vendor sourcing, and process equipment and construction contracts as it pertains to Capital procurement.
Must possess a broad knowledge of contract development and administration.
Must possess organizational skills along with an ability to analyze problems so as to satisfy the needs of the company and its personnel.
Must be able to communicate effectively with Client, Team Members, and upper Management.
An in-depth knowledge of clauses of contracts and agreements as they apply to the design services, procurement of capital equipment, or construction services contracts.
Personal Attributes Desired: Take-charge individual with a high energy level, the ability to schedule own and staff workload effectively, and work independently and as part of the team.
Should have strong analytical skills who thinks ahead with an ability to foresee potential problems and prevent them.
