Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team.
As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office.
Your primary responsibilities will include providing administrative support, managing phone calls and emails, and maintaining office records.
Duties:
- Greet visitors and direct them to the appropriate person or department
- Answer phone calls and respond to emails in a professional and timely manner
- Schedule appointments and maintain calendars for multiple staff members
- Prepare and transcribe documents, correspondence, and reports
- Assist with data entry and maintain accurate records
- Coordinate meetings and events, including making arrangements for catering and room setup
- Perform general administrative tasks such as filing, photocopying, and scanning documents
- Handle sensitive information with confidentiality
- Provide excellent customer service to clients and visitors
Qualifications:
- Previous experience as a front desk receptionist or medical receptionist is preferred
- Strong typing skills with the ability to transcribe accurately
- Proficient in computer applications such as Google Suite (Docs, Sheets, Slides)
- Excellent phone etiquette and communication skills
- Ability to multitask and prioritize tasks effectively
- Attention to detail and strong organizational skills
- Proactive problem-solving abilities
- Previous experience in an administrative or office role is desired
- Strong customer service skills
