Eagle Flexible Packaging is seeking a full-time Human Resources and Office Specialist who will assist with recruitment efforts to attract top talent as well as efforts to ensure that employees are personally and professionally supported and engaged throughout their tenure.
The Specialist will also promote Eagle’s presence within the community, staff the front desk, and provide general office and facility support for a busy flexible packaging manufacturer.
Primary Duties and Responsibilities: Talent acquisition responsibilities including but not limited to: Represent company at job fairs and other community events.
Evaluate applications and creatively source of passive candidates.
Conduct phone screens, providing feedback to hiring managers.
Facilitate onsite interviews, including administering and grading assessments.
Lead new hire orientation and onboarding sessions, including management of new hire paperwork.
Employee engagement responsibilities including but not limited to: Plan employee engagement events and activities (e.
g.
, employee meals, celebrations, awards and recognition, etc.
).
Conduct exit interviews with separating employees, compiling feedback for future action.
Support individual employees in the achievement of their personal and professional goals.
Plan and communicate health and wellness initiatives.
ADP human resources information system (HRIS) responsibilities including but not limited to: Accurately and promptly enter new hire information and employee updates in the system.
Run and distribute reports for people managers.
Review timecard punches and following up with managers and employees to ensure that records are accurate and break and attendance policies are upheld.
Lead open enrollment process for annual benefits, ensuring that all employees are fully apprised of their options.
Address benefits-related inquiries throughout the year.
Manage leaves of absence.
Address employee relations concerns, documenting and taking partners to ensure concerns are appropriately addressed.
Schedule quarterly check-ins and annual reviews and track completion, ensuring that employees are receiving prompt and regular feedback as well as opportunities to partner with leadership in the achievement of their professional goals.
Lead safety measures including ensuring training compliance, procurement, and appropriate use of personal protective equipment (PPE) and first aid supplies; update safety-related documentation and procedures.
Facilitate internal communications including ensuring that all employees have access to Eagle communication regardless of computer access and that employees are fully informed of available resources such as the employee assistance program (EAP).
Support employees in their use of the learning management system (LMS) and ensure completion of required elearnings.
Promote Eagle’s presence in the local community including but not limited to: Network with schools, municipal entities, and support service agencies.
Identify and coordinate efforts to participate in community events and activities.
Identify and coordinate the execution of Eagle Cares community support activities.
Front office responsibilities including but not limited to: Greet and direct all visitors, ensuring that they follow all appropriate sign-in procedures.
Answer and direct calls placed to the facility.
Sort and distribute all mail and small packages; coordinate UPS and FedEx shipments.
Monitor office supply and kitchen needs and place orders as appropriate.
Support leadership with ad hoc projects such as special reports, appointment scheduling, travel planning, correspondence preparation, facility tours, and liaising with outside vendors and customers.
Ensure that all company food safety and quality assurance procedures are followed at all times.
Escalate any issues/concerns to management.
Other related duties as assigned.
Requirements: High school degree or equivalent (GED).
Minimum one year relevant experience, including talent acquisition experience.
Basic PC skills including proficiency in word processing, spreadsheet, and email software with proven ability to learn new software programs.
Understanding of human resources policies and procedures as well as applicable laws and regulations.
Strong sense of personal integrity with ability to maintain the confidentiality of privileged information.
Sense of urgency to complete responsibilities with thoroughness, responsiveness, professionalism, and whenever possible, proactively.
Effective time management skills with ability to work independently and maximize productivity.
Professional proficiency in verbal and written English including ability to effectively and professionally communicate with a diverse group of internal and external customers.
Excellent decision-making and problem-solving skills.
Strong attention to detail, critical thinking, and organizational skills.
Excellent work ethic and willingness to learn.
Preferred Qualifications: Associate or bachelor’s degree in Human Resources, Business, Communications, Psychology, Anthropology, or related field.
Bilingual in English/Spanish.
Experience with human resources information system (HRIS) software.
Experience with applicant tracking system (ATS) software.
Additional Information: Occasional travel may be required, primarily local and between Eagle’s Wisconsin and Illinois facilities.
The standard work schedule for this position is daytime hours Monday-Friday.
There may be occasional needs to work hours outside of the standard schedule, and workweeks may exceed 40 hours.
