Job Title: Office Assistant / Bookkeeper Job Purpose/Description: Seeking trustworthy, self-starting, and enthusiastic team member for general office administration and bookkeeping duties, including but not limited to payroll, accounts receivable, accounts payable, invoicing, general bookkeeping, and general office duties.
Must be willing to help when and where needed and have excellent communication skills.
An understanding of QuickBooks is preferred as limited training is available on the job.
Must have an excellent understanding of Microsoft Excel.
An understanding of Microsoft Word is also preferred.
Candidate must be able to work 32 to 40 hours per week.
Job Duties / Responsibilities: * Maintain efficient accounting and filing systems used for the company while entering data accurately, promptly and efficiently into QuickBooks.
* Accounts payable and accounts receivable duties: prepare invoices, process bills, process checks, checkbook reconciliation, credit card statement reconciliation, and other financial duties.
* Process bi-weekly payroll and associated payroll payments.
Track employees’ time in accordance with employee handbook (i.
e.
, PTO days, bonus days, etc.
).
Process unemployment compensation requests from the state and handle employee questions pertaining to payroll related issues.
* Ensure all accounting information is to the accountant in an accurate and timely manner for the monthly closing process and at other times throughout the year as requested by CPA firm.
* Manage all compliance reporting, including sales & use tax reporting, payroll reporting, etc.
* Provide project specific support when necessary: job cost reports, prepare proposals, contracts, inventory lists for jobs, and bid documents.
* Receive phone calls and greet customers.
* Handles all sensitive material with the highest degree of confidentiality.
* Performs other duties as assigned Experience: * Knowledge of accounting practices and procedures * Advanced knowledge of QuickBooks and Microsoft Excel * Must demonstrate a high level of confidentiality * Strong customer-service attitude for internal and external customers * Good planning and organizational skills, good communication (oral and written), detail-oriented, efficient, pro- active, accurate * Professionalism with strong work ethic and excellent attendance * Proficiency in Microsoft Office (Word, PowerPoint, Outlook, Project) * Background in Construction desired, but not required Key Competencies * Communication skills; attention to detail and high level of accuracy; initiative; integrity; stress tolerance; adaptability; ability to use discretion with confidential information.
